Terms and Conditions

Kongress- und Kulturmanagement GmbH (hereafter referred to as KUKM GmbH) is the congress organizer of the 6th Theranostics World Congress, which takes place from 24 – 26 June 2022, in Wiesbaden, Germany (hereafter referred to as TWC 2022).

These General Terms and Conditions are valid for each registered attendee of this congress. Any person registered (delegate, student, press representative, invited speaker, exhibitor, sponsor etc.) is considered an attendee.

Registration and Payment
The fees for the congress participation, the social events and the handling fees are charged in the name and on account of the Kongress- und Kulturmanagement GmbH (KUKM GmbH) and include the currently valid VAT of 19%. The VAT ID of KUKM GmbH is DE158265638.

The participation fee includes the participation in all event days as well as the access to the on-demand area of the congress until 30 June 2023. The participant has no claim that all contents are available for later retrieval.

The registration and payment deadlines are as follows:

Super Early Registration deadline: 15 March 2022, 24:00:00 (CET)
Early Registration deadline: 1 May 2022, 24:00:00 (CEST)
Regular Registration: from 2 May 2022, 00:00:01 (CEST)

Everyone who wants to attend the TWC 2022 must register. Registration to the congress is solely possible via the online registration form. From the first day of the congress (24 June 2022), registration for the congress is possible via the online registration form and on site at the registration desk by filling in the registration form on site.

With the completion of the online registration (by clicking the button “register and pay” at the end of the form) or handing in the on-site registration form on-site, the contract between KUKM GmbH and the participant is legally binding.

Everyone who wants to register at a reduced registration fee (e.g. students, press representatives, etc.) needs to provide the requested proof to KUKM GmbH upon registration. This can be submitted via upload during registration, via fax +49 3643 2468-31, via e-mail to tina.streitberger@kukm.de or via post to KUKM GmbH, Rießnerstraße 12 B, 99427 Weimar.

The participant will receive an official confirmation/invoice of registration from KUKM GmbH via email. All registration fees must be paid in due time according to the due date stated on the invoice. For applying for the super early/early registration fee, payment in full must be made within the given deadlines. Otherwise, KUKM GmbH reserves the right to change the registration to the higher registration fee and send a new invoice.

Payments are only accepted in EUR and can be made by credit card, direct debit or by bank transfer. Any bank charges have to be paid by the participant. Cheques will not be accepted. All registration fees must be fully paid prior to the congress. At the latest, payment may be made on-site at the registration desk in cash or by credit card. Only after full payment has been received, the registration will be considered valid.

In case of objection and self-inflicted return debit note, an additional handling fee of EUR 35.00 will be charged.

Visa requirements and invitation letter
It is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees who require an entry visa must schedule sufficient time for the application procedure. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. It is recommended to apply for a visa at least three months in advance of the congress.

If you wish to receive an invitation letter, please indicate this during the online registration process. Be aware that invitation letters will be handed over only after payment is complete. Furthermore, please note that we can only issue such letters electronically (PDF format) and are not able to send you or any German embassy a hard copy. Also, be patient as it may take some days before you will receive the confirmation letter as an attached file.

Issuing the Invitation Letter does not financially obligate the congress organizers in any way. All expenses incurred in relation to the congress are the sole responsibility of the attendee.

Publication of Abstracts
According to the publication policy of the TWC 2022, only abstracts from presenters who have registered and fully paid the registration fees according to the payment deadline mentioned in their invoice, will be published in the abstract book. Furthermore, the poster or oral presentation must be presented from the presenter (or at least any of its co-authors) in person on-site. Hence, the abstract will be deleted from the abstract book afterwards, in case of no-show/no presentation on-site.

Name badge
On arrival at the congress venue, every attendee needs to proceed to the registration desk first in order to pick up the name badge. The name badge has to be worn at any time during the congress and entrance to the congress premises will only be allowed when presenting a valid name badge.

If an attendee loses, misplaces or forgets the name badge, a handling fee of EUR 15.00 will be charged for re-printing the badge. Upon handing out a new name badge, the lost badge will become invalid.

Film, Photo and Video Recordings
Please be informed that you may be filmed or photographed at any time (e. g. in the session rooms, or in the poster and exhibition area) and any presentation you deliver may be recorded. With the registration to the congress, attendees confirm and agree that all pictures and recordings which have been taken during the congress may be used by KUKM GmbH for publication and dissemination.

Cancellation Policy
All registration changes and cancellations must be communicated to KUKM GmbH in written form (by email).

For cancellations which turn in until 31 April 2022, KUKM GmbH refunds 100 % of the registration fee less EUR 35.00 administration fee. If cancellations will be done later than 1 June 2022, we regret that no refunds will be issued.

In case of cancellations due to denied VISA applications, the full registration fee minus a processing fee of EUR 35.00 will be refunded after the congress if the visa was applied for in time. To apply for the refund, a proof of timely application together with an official notice from the embassy confirming that a visa could not be granted needs to be forwarded to KUKM GmbH by email.

No refund will be given for unattended events, in case of illness or early termination of attendance.

Insurance
The registration fees do not include insurance of any kind. The organizers cannot accept any responsibility or liability for injuries or losses sustained as a result of any cancellations, accidents, illness or other occurrences that may arise in connection with the congress or its evening events. Participants are advised to organize appropriate travel and health insurance themselves.

Liability
By registering, the participant agrees that he/she will not make any claims against KUKM GmbH if in consequence of political, commercial or natural forces, the congress will be cancelled or altered in its program.

KUKM GmbH only acts as mediator and is not liable for any losses of things, in accidents, destructions and damages of property and/or in the injury of persons, the reason does not matter. Participants and accompanying persons participate in all congress events on their own risk.

Additional Instructions for Online Participation

Recordings of Participants
During the event, images will be recorded in the form of screenshots and video recordings. If the participants are recorded during the congress, these recordings will be made available for retrieval via the on-demand area until 30 June 2023. After 30 June 2023, the recordings will be deleted.

Accessibility
The organizer does not guarantee continuous accessibility of the congress. Due to technical problems, restrictions of access are possible. The organizer is not responsible for deficient technical services of third parties, unless the organizer is responsible for these deficiencies.

Advertising Placements
The participant is aware that the organizer's website (https://www.twc-2022.org/) may be used for advertising by the organizer and third parties (including exhibitors).

Malware
The participant must refrain from any measures that could lead to malware (e.g. viruses, Trojans, spyware, etc.) entering the digital system of the organizer or the operator of the online platform.

Chat Function
When using a chat function offered by the organizer as part of the congress, the participant is obliged to comply with the law when entering messages. Furthermore, the participant will not violate the rights of third parties or post defamatory, insulting or discriminatory statements. Each message must be in either German or English; other languages are not permitted. Violations of these regulations may lead to the deletion of the message and/or exclusion from the congress.

Severability Clause
If there is a determination of these Terms and Conditions to be ineffective or impracticable, then the validity of the Terms and Conditions remaining are not impaired. The parties are obligated to cooperate in order to replace the ineffective or impracticable clause by an effective or feasible clause, which results in the ineffective or impracticable clause being closed.

Notes on Data Protection
Our company uses all personal data in accordance with the regulations of the General Data Protection Regulation (DSGVO). Please notice our data protection policy. For further details we refer to the data protection policies on our website http://www.kukm.de/datenschutz-2/.

In order to register the participants for the above congress, we need to process their personal data. This is done for the purpose of organizing and running the event and requires your consent and/or the consent of the participant(s) you sign up for, in accordance with Art. 6 Abs. 1. S. 1 lit. a, b, f DSGVO. The data will only be passed on to third parties who are directly involved in the congress process in cases where the organizational process requires so.

We ask you for your understanding that a registration for the above congress is not possible without your consent or the consent of the participant(s) you sign up for.
